Job Summary

The Accounts Payable Clerk will be responsible for processing invoices, verifying expenses, and ensuring timely payments to vendors and suppliers. Reporting to the Accounts Supervisor, the successful candidate will play a key role in maintaining accurate financial records and supporting the smooth operation of the accounting department.

Duties & Responsibilities

  • Receive and review invoices, purchase orders, and expense for accuracy and completeness.
  • Enter invoices into the accounting system, ensuring proper classification and allocation of expenses.
  • Match invoices with purchase orders and receiving documents to verify goods or services received.
  • Obtain necessary approvals and signatures for payment processing.
  • Prepare and process payment batches, including checks, bank transfers, and wire transfers, in accordance with payment terms and deadlines.
  • Reconcile accounts payable transactions and resolve any discrepancies or issues with vendors.
  • Respond to vendor inquiries and address payment-related concerns in a timely and professional manner.
  • Maintain vendor records, including contact information, payment terms, and banking details.
  • Assist with month-end close processes, including accruals, reconciliations, and reporting.
  • Support internal and external audits by providing documentation and information as needed.
  • Stay updated on accounting policies, regulations, and best practices to ensure compliance and accuracy in accounts payable processes.

Qualifications

  • Associate’s degree in accounting or finance.
  • Minimum of 3 years’ experience in accounts payable or related field.
  • Proficiency in Quick Books and Microsoft Excel.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Effective communication and interpersonal skills, with the ability to interact professionally with vendors and internal stakeholders.
  • Knowledge of accounting principles and practices, including accounts payable processes and procedures.
  • Ability to work independently and collaboratively as part of a team in a fast-paced environment.
