Job Summary

The Accounts Receivable Clerk will be responsible for managing the accounts receivable function, including invoicing, payment processing, and collections. Reporting to the Accounts Supervisor, the successful candidate will play a critical role in maintaining accurate financial records and ensuring timely collection of outstanding balances.

Duties and Responsibilities

  • Generate and distribute invoices to customers accurately and in a timely manner.
  • Monitor accounts receivable aging reports and follow up on overdue payments.
  • Contact customers via phone, email, or mail to resolve payment discrepancies and facilitate timely collections.
  • Process customer payments, including checks, credit card payments, and electronic transfers, and apply them to the appropriate accounts.
  • Reconcile accounts receivable transactions and resolve any discrepancies or issues in a timely manner.
  • Investigate and resolve billing discrepancies or disputes with customers.
  • Maintain accurate records of customer transactions, adjustments, and communications.
  • Assist with month-end close processes, including accounts receivable reconciliations and reporting.
  • Collaborate with other departments, such as sales and customer service, to address customer inquiries and resolve billing issues.
  • Stay updated on accounting policies, regulations, and best practices to ensure compliance and accuracy in accounts receivable processes.

Qualifications

  • Associates degree in accounting or finance.
  • Minimum of 3 years’ experience in accounts receivable or related field.
  • Proficiency in Quick Books and Microsoft Excel.
  • Strong attention to detail and accuracy in data entry and reconciliation.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with customers and internal stakeholders.
  • Knowledge of accounting principles and practices, including accounts receivable processes and procedures.
  • Ability to work independently and collaboratively as part of a team in a fast-paced environment.
  • Experience with collections and resolving payment disputes is a plus.
