The Clerk I perform a variety of general clerical work and assists the Administrative Assistant in coordinating and maintaining effective office procedures and efficient workflows; Culinary Arts, Tourism, Hospitality and Industry Training departments

DUTIES & RESPONSIBILITIES:

The position of Clerk I, is required to perform a variety of tasks including, but not limited to, the following:

  • Answer the telephone in a professional and timely manner and handle telephone/email inquiries and direct calls/emails to the appropriate person(s)/department;
  • Handle inquiries or direct visitors to the appropriate person(s);
  • Process mail;
  • Assist Staff, Faculty and Adjunct Faculty members with general clerical tasks including filing, copying, and scanning to e-mail documents/papers needed for class;
  • Assist with submitting requests to Media for any technical or media requirements;
  • Assist with the processing of academic forms for students;
  • Assist with the collection and submission of revenue from classes/events to Finance Clerk;
  • Issue invoices and receipts and maintain spreadsheets;
  • Assist with the collection and submission of papers/documents to/from various departments/offices on the main campus;
  • Maintain and post important information to bulletin boards from the university’s clarion or internal/external information;
  • Assists new and returning students with questions relative to new student orientation, advisement, internship process and registration;
  • Assists with correspondence and administrative arrangements for school as requested.
  • Attend Unit’s meetings as requested by the Chair.

REQUIREMENTS:

  • Outstanding written and oral communication skills;
  • Excellent organizational skills and keen attention to detail
  • Ability to execute directives without delay;
  • Ability to handle multiple calls;
  • Demonstrated discretion and judgment when dealing with confidential and sensitive information;
  • Excellent team player and problem solver, self-starter, excellent presentation skills, outstanding ability to troubleshoot and improvise on short notice;
  • Ability to establish and maintain effective working relationships with other administrative units on campus and various other campus constituencies;
  • Self-motivated worker who can anticipate problems and demonstrate significant independent judgment;
  • Proven office administration and customer service skills required;
  • Demonstrated proficiency in MS Software packages, presentation and publishing software and electronic communications tools;
  • Database and web skills advantageous;
  • Performs all tasks with the highest degree of confidentiality, professionalism and accuracy, while displaying a pleasant customer service attitude.

QUALIFICATIONS:

  • Two (2) passes at B.G.C.S.E. level in English Language and Mathematics at Grade “C” and R.S.A. II or UB Typing II for Typist I and R.S.A. II
